Data Protection Principles

Fair Trials is committed to processing your personal data in accordance with the European Union General Data Protection Regulations (GDPR) and the UK GDPR.

What information is collected, by whom, and why?

Legal support email enquiries

It is rare for the Fair Trials to directly intervene in cases and therefore for most inquiries, while we may provide initial advice or direct you towards helpful information sources, any data received will be deleted shortly afterwards.  Where your case relates to a key campaign or advocacy area for the charity and we agree to actively support you, we may collect information about you. This includes, for example, your name and contact details, and details about your case so that we can assist you and respond to your enquiry. In these cases, we may retain your information for up to six years from the point of your last contact, unless you ask us to delete it (see also case studies below).

Case studies

Fair Trials will document cases (i.e. written case studies and films) that may be displayed on our website or elsewhere to support our human rights campaigning work. These will only be displayed with express consent of the individuals involved, unless information and footage is already in the public domain. We may retain this information (and supporting information needed to substantiate statements) unless and until we determine that publicising this information will no longer advance our human rights campaigning work or you ask us to delete it.

Mailing list

If you sign up to one of our mailing lists, we will collect your email address and, if you choose to provide it, your name and other information. You can unsubscribe from our mailing lists at any time.

For this, we use Mailchimp, a reputable email list provider service, to manage most of our outgoing emails. Mailchimp stores and processes your email address, email preferences and name if you provide it (you do not have to). We store your email address and also track which of our emails you open and what links you click in our emails. We give you some choices about what type of emails to receive from us and how often and we store your preferences. The data is securely stored on our behalf by Mailchimp but we occasionally take back ups of data and store these locally (see below).

Events

We use Mailchimp and Eventbrite to enable people to register for our events. We deliver online events through Zoom. These companies have their own data protection procedures. When you register for an event, we will ask for your email and other optional information, such as your name, job and location. We will only use your email to send you updates about the event unless you sign up for one of our mailing lists. When you attend an event in person, we will ask you to sign in. When you attend an event on Zoom, we will ask you to provide an email address. If we record the event we will only do so with the consent of the speakers being recorded. We may be required to share some information about who registered at and / or attended our events with our funders and their auditors.   We will only share what is necessary to meet those requirements and further the legitimate interest of the charity following GDPR principles.

Other information collected via the website

When people visit our website, we collect the IP (internet protocol) address they are using and other related information such as page requests, browser type, operating system and average time spent on our website. This information is anonymous and we use it, for example, to see how many people have used the website and which parts of the website they visited.

“Cookies” are text files placed on your computer which allow us to identify your computer when you return to the website. We use “cookies” and similar technologies to enable us to understand how people are using the website so that we can make sure that the structure and content of the website meets people’s needs. If you do not wish to have cookies on your computer, you can set your browser preferences to reject them. However, if you decide not to accept cookies, you may not be able to use all of the features of this website.

For this information, we use Google, specifically Google Analytics. We use Google Analytics to assess how users find and then use our website so that we can improve how it works.

Who do we disclose your information to?

We may use third parties to perform functions on our behalf in relation to this website and the purposes set out in this privacy policy. Examples include website hosting and email fulfilment. Such third parties may be provided with access to your information if needed to perform their specific functions but may not use such information for any other purpose.

We may also disclose your information to third parties where necessary to comply with applicable laws and regulations, where there is a complaint relating your use of the website and/or for the purposes of obtaining professional advice (for example, legal advice).

Fair Trials will not share your information for marketing purposes to any third parties.

Links to other websites

Our website may contain links to or from other websites. Please be aware that we are not responsible for, and have no control over, the privacy practices of other websites. This privacy policy only applies to the information that we collect via this website.

We operate a number of social media pages including Facebook, LinkedIn and Twitter.  Although this policy covers how we will use any data collected from those pages it does not cover how the providers of social media websites will use your information.  Please ensure you read the privacy policy of the social media website before sharing data and make use of the privacy settings and reporting mechanisms to control how your data is used.

Security

We have taken appropriate technical and organisational measures to protect the personal information that we collect against unauthorised or unlawful processing as well as against accidental loss, destruction or damage. We will continue to maintain and improve these measures over time in line with legal and technological developments.

We store your personal data in several ways:

• Firstly, on our website servers. These are secure servers and your data is sent to us securely via SSL encryption
• Secondly, we store some backups of data such as email subscriber lists locally on personal computers. These computers are encrypted and password protected to prevent data theft if the computers themselves are stolen.
• Thirdly, on our hosted and password protected Microsoft Office 365 environment.

Please note, however, that no data transmission over the internet can be guaranteed as totally secure.
